Saffron Hall Trust: Privacy Policy

  1. Your Privacy

The purpose of this policy document is to explain how we collect and use your personal information and details. It is valuable both to you and us because it enables us to develop our understanding of your cultural tastes, to design our programming and to provide you with news of our plans. It also enables us to give you information about our other work both on and off the stage. Our overriding concern, however, is to protect the confidential nature of your personal information and to prevent its misuse.

This policy document gives details of how we may use personal information about you that we collect directly or from third parties; in what circumstances we may disclose details to other organisations; how we keep your personal information secure; your right to have access to it and to ensure that it is accurate; and your right to have it removed from our records.

Social Media: The use and possible misuse of personal information by some social media platforms has been and is the subject of much public comment. We assure you that we will not share any personal information we hold about you to any social media organisation or platform.

If you have any questions about our privacy policy or what use we make of your own details, please do not hesitate to contact us at info@saffronhall.com ; or by telephone on 01799 588545; or by post to Saffron Hall Trust, Council Offices, London Road, Saffron Walden CB11 4ER.

  2. How we may use your personal information

The law allows certain ways in which we may use personal information about you that we collect.

One of these ways is if you give consent to that use. We will only use your information in this case if you give clear and explicit consent to that particular use.

Another is if the use is in pursuance of our ‘legitimate interest’. In this case we will only use your information if its use does not cause prejudice to you, and we will always ensure that your privacy is fully respected. We give below examples of our legitimate interest in different circumstances.

Information about forthcoming events: We use information we have collected about what events you have attended and about your preferences, to inform you of future events that we believe will be of interest to you. If we did not do so you might miss valuable cultural experiences and we would not be able to sell tickets so effectively.

Fundraising communications: We may use information we have collected to ask you to make a donation or ask whether you wish to attend a fundraising event. We do this to encourage philanthropy in pursuance of our charitable objectives. We rely on your support to remain solvent and to be able to go on providing music and other cultural events to the public. We will only use emails for fundraising with your explicit prior consent.

In addition to marketing and fundraising communications, we also process personal information in the following ways:

    • We may analyse and segment data we hold about you to ensure that the content and timing of communications that we send are as relevant as possible.

    • We may occasionally use third parties to help provide us with publicly available information about you that will help us to build a picture of our supporters and help identify other similar potential donors.

    • In order to improve our website, we may analyse information about how you use it.

In certain circumstances we may disclose your personal information to third parties: for example, to our box office agents, or visiting artists or companies. In such cases we require the third party to comply strictly with our instructions and data protection law to keep the information confidential. In the case of disclosure to visiting artists and companies, we will always ask for your prior consent.

  3. Learning and Participation

When you join our Learning and Participation programme, we may need to collect special information about you including medical details and your wheelchair or other requirements for access to the Hall. We will ensure that there are additional safeguards that such information is kept confidential, and we will always ask your consent before using this information. If this information relates to a child or someone of restricted mental capacity, we will ensure that we have a parent, guardian or carer’s consent.

  4. Cookies and website

Cookies are small text files that are automatically placed onto your device by some websites that you visit. They are widely used to allow a website to function (for example to keep track of your basket of tickets) as well to provide website operators with information on how the site is being used. We use cookies to keep track of your basket as well as to identify how the website is being used and what improvements we can make. For more information, and to manage your cookie preferences, see our Cookie Policy.

  5. Your debit and credit card information

If you use your credit or debit card to purchase from us or to make a donation, we will ensure that this is carried out securely and in accordance with the Payment Card Industry Data Security Standard (PCI-DSS). We optionally allow you to store your card details for use in a future transaction. This is carried out in compliance with PCI-DSS and in a way where none of our staff members are able to see your full card number when the card is stored. We never store your 3 or 4 digit security code.

  6. Maintaining your personal information

We store your personal information indefinitely so that for any subsequent purchases you make we are able to link them back to a single unique record that we hold for you on our system.

Any objections you make to any processing of your data will be stored against your record on our system so that we can comply with your requests.

  7. Security of your personal information

We have in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your personal information as secure as possible. We will ensure that any third parties we use for processing your personal information do the same.

  8. Your rights to your personal information

You have a right to request a copy of the personal information that we hold about you and to have any inaccuracies in this data corrected. You also have the right to request for your data to be erased from our database. Please use the contact details at the end of this policy if you would like to exercise this right.

  9. Contact details and further information

Please get in touch with us if you have any questions about any aspect of this privacy policy, and in particular if you would like to object to any processing of your personal information that we carry out for our legitimate organisational interests.
